Privacy notice
Last updated: 21 October 2026. A plain-English summary of how I look after your details.
Who I am
Alongside AI is run by me, Juan Ortiz, as a sole trader in Wokingham, Berkshire. I decide how the details you give me are used, so I’m the “data controller” for them. You can reach me at hello@alongsideai.co.uk.
What I collect, and why
- The contact form: your name, your email or phone number, what you tell me about your business, and the page you sent it from. I use it to reply to you and to talk about whether I can help.
- Booking a free call: when you book through Calendly, I receive your name, email, the time you chose and anything you add to the booking. The call itself takes place on Google Meet. I don’t record calls.
- Emails you send me at hello@alongsideai.co.uk, so I can reply.
- Calls to my demo line, if I give you the number: calls are answered by an AI assistant. The call is processed to understand it, and the details a caller gives (name, number, address, what the call is about), a summary and a transcript are logged so I can show how the system works.
- Visiting this website: the company that hosts it keeps basic technical logs, such as IP addresses, to run the site and keep it secure.
The legal reason I use your details is to take the steps you ask for before we might work together (replying, arranging a call), and my legitimate interest in running and improving my business.
What I don’t do
- This website doesn’t use cookies, tracking or analytics. Calendly’s booking page, which opens when you click “Book a free call”, is run by Calendly and has its own cookie and privacy notice.
- I don’t sell your details or use them for anything unrelated to replying to you or working with you.
- I don’t add you to a mailing list.
Who else handles it
I use a few service providers to run the business. They handle your details on my behalf:
- Netlify: hosts this website.
- n8n: receives the contact form and passes it on.
- Google: Gmail, Google Sheets and Google Calendar, where I keep enquiries and bookings, and Google Meet for calls.
- Calendly: the booking page.
- Namecheap: forwards email sent to hello@alongsideai.co.uk.
- Retell AI and Twilio: run the demo phone line.
Some of these companies are based in, or store data in, the United States. Where your details leave the UK, I rely on the safeguards each provider offers under UK data protection law.
How long I keep it
- Enquiries and bookings that don’t lead to work: deleted within 12 months.
- Demo line calls: deleted within 3 months.
- If we work together: I keep the records the law requires for tax, usually up to 6 years.
If you’d like me to delete your details sooner, just ask.
Your rights
You can ask to see what I hold about you, to correct it, to have it deleted, or to object to how I use it. Email hello@alongsideai.co.uk and I’ll reply within a month. If you’re unhappy with how I’ve handled something, you can complain to the Information Commissioner’s Office at ico.org.uk.
